Task Checklists Pro

Checklists on Zoho Projects tasks that hold up when a whole team is working on the same thing — nested sub-items, reusable templates, and per-item saving so nobody overwrites anybody.


What it does

The extension adds a Checklist tab to every task in Zoho Projects. Type to add items, press Tab instead of Enter to nest one under another, and tick them off as you go. A running count sits at the top of the panel.

Administrators can build reusable checklist templates once and let everyone apply them to any task in a couple of clicks.

Every checklist item is saved as its own record. That sounds like an implementation detail, but it is the reason two people can work the same checklist at the same moment without one person's tick undoing the other's.

Installing

  1. From the Zoho Marketplace listing, select Install and choose your portal. You'll need to be a portal owner or administrator.
  2. Open any task and scroll to the tab strip at the bottom of the detail page. Checklist appears as the last tab. If there are several extensions, it may be behind the ... menu.

One install covers the whole portal. Once an administrator has installed it, every member sees the Checklist tab — nobody else has to install anything.

Using a checklist

Adding items

Type into the box at the bottom of the panel and press Enter. The item appears immediately.

Nesting sub-items

Type the item, then press Tab instead of Enter. It is added as a sub-item of the item above it. There is no depth limit — a sub-item can have its own sub-items.

Checklists are shared. Anyone who can see the task can see and edit its checklist, and changes are stored centrally rather than in your browser.

Because each item is saved separately, two people ticking two different items at the same moment both keep their change. The panel shows the state as of when it loaded, so refresh the page to pick up a colleague's edits.

Templates

Creating one

Templates are managed by portal owners and administrators:

  1. Select the settings icon in the top navigation band.
  2. Go to MarketplaceInstalled AppsTask Checklists Pro.
  3. Select the Checklist Templates tab.
  4. Select New template, give it a name, and type its items into the box below — one per line.

Applying one

On any task's Checklist tab, pick a template from the dropdown and select Apply template. Every member can apply templates, not just administrators.

Applying a template adds to a checklist — it never replaces one. If the task already has items, the template's items are appended below them. That is deliberate: quietly deleting a colleague's work would be a worse outcome than a duplicate you can remove in one click.

Pricing

There is a permanent free tier for small teams — not a trial. Above that, the extension is charged per user per month and billed by Zoho through your existing account. Current rates and tier limits are on the Marketplace listing.

Questions

Where is my checklist data stored?

Inside your own Zoho Projects portal, in Zoho's own extension storage. The extension has no server of its own and makes no network calls outside Zoho. Nothing is sent to Earlywick and we have no access to your portal. Full detail is in the privacy policy.

What happens if we uninstall?

Checklist items on tasks are kept. Templates are deleted — Zoho removes extension-level storage on uninstall and the extension cannot prevent it. If you have templates you want to keep, copy them somewhere before uninstalling.

Why can't ordinary members create templates?

The template manager lives on the extension's settings page, which Zoho restricts to portal owners and administrators. We think that split is the right one anyway: administrators curate a small set of good templates, and everyone applies them.

Do checklists carry over from project templates?

Not yet. Templates are applied to a task manually, from the task's Checklist tab. Automatic propagation — where creating a project from a project template also creates the checklists — is the feature we are working on next.

Can I use it on issues or milestones?

Not currently. The extension adds its tab to tasks only. If issue or milestone checklists would be useful to you, say so — it is a straightforward addition and requests genuinely influence what gets built.
